We are looking for a high-performing, experienced and proactive Personal Assistant with exceptional stakeholder skills to support the General Manager, Marketing Communities and the General Manager, Data Science & Insights.  Tasked with administration, communication, and information/workflow management this role will enhance Stockland’s Brand and the Managers profile, partnerships, and relationships with key stakeholders.

About the role

With the General Manager, Marketing Communities, Melbourne based, and responsible for a national team and the General Manager, Data Science and Insights, Sydney based, utilising your PA experience, you’ll provide  administrative and high-level coordination to plan, prioritise, and execute according to priorities of the role.  Using your experience in diary management, you will flag and highlight where necessary ensuring the smooth running of General Managers in high demand.

Key responsibilities include:

  • Organise and complete tasks, manage events, prepare presentations/correspondence, complete reports with set timeframes, draft letters and manage emails
  • Information management, including collection and maintenance of files/records, correspondence, and project files for easy retrieval
  • Day-to-day diary and workflow management with a focus on diary management, travel, organisation of approvals and the provision of support including the preparation of minutes, agendas and PCG reports
  • Assist in maintaining appropriate systems, procedures and controls
  • Provide updates to the General Managers about key business and people issues
  • Raise purchase orders and manage invoicing
  • Liaise with stakeholders to ensure meetings are attended, reports/presentations are prepared within the set deadlines and build strong relationships through effective communication

About you

Someone that thrives in a fast-paced environment and if you are interested in progressing a career into marketing this role will provide you with exposure across the marketing spectrum.

  • Experienced, confident Personal Assistant accustomed to working in a senior management environment subject to work pressures and competing deadlines and the ability to build trusted relationships
  • You bring experience supporting at General Manager or Senior Manager level, and experience supporting more than one Manager would be preferable but not essential
  • Strong administration skills with intermediate to advance skill level across the Microsoft Office Suite including Outlook, PowerPoint, Word, and Excel. Desktop publishing experience would be beneficial as would SAP and Power BI
  • Highly organised, attention to detail, strong sense of initiative, exercises discretion and a proactive approach
  • Experience in managing events and projects requiring flexibility to meet deadlines and experience in planning and tracking one-off administration projects/initiatives

There are some BAU tasks that we have to do on a day-to-day basis, which is understandably tedious but important for the continuation of the business. However, in the teams that I have worked with, we dedicate a lot of time to building new tools, work on projects, and make our work more streamlined and automated. I have been able to learn a lot about automating processes on two cloud providers as well as on local machines. There are exciting projects all around and it has been very true that no two days have been the same. There is a huge innovation culture and innovation is appreciated and encouraged.

The graduate program was more ad-hoc tasks. It would have been a lot better if there were tasks that I could take ownership of.

    • There are not a lot of benefits/promotions that Stockland offers, especially from third parties.

    • Career progression is a bit slower due to the size of the company.

    • Sometimes, the workload outweighs the pay bracket.
